Best Meeting Transcription Tools in 2026: An Independent Comparison for SMBs

Meeting transcription tool records your discussions, turns them into text, and extracts the essentials: summaries, decisions, tasks. In 2026, the market exceeds $3 billion and is growing by about 25% a year (Technavio, Data Bridge Market Research). The choice is broad. Too broad: most comparison pieces are written by the vendors themselves, and each one puts its own product at the top of its ranking. This article is written from the perspective of a French-speaking SMB of 10 to 200 people that runs projects lasting several months and needs much more than a raw transcript. We review the tools that matter, and above all the questions that no one asks in standard comparisons.

All tools transcribe. The real question is: then what?

In 2026, transcription has become a commodity. All the tools on the market know how to convert audio into text with acceptable accuracy in English. Differentiation is no longer decided there. It lies in what the tool does with the text once it is produced. 

A project manager in an engineering design office summed up the problem for us: sometimes it takes three or four tries before the tool selects the right information and organizes it correctly. Another executive described a common situation: each employee uses a different AI tool on their own, without a common process, and the results end up scattered between SharePoint, emails, and three separate applications. 

This is the real criterion for choice. Not transcription accuracy (which varies between 85 and 98% depending on the language, noise, accents). But what the tool makes possible with the content: extract tasks, produce a usable report, feed a CRM, or find a decision made six months ago. 

Transcription tools by usage category

General-purpose notetakers: Otter.ai, Fireflies.ai, Fathom 

These are the best-known tools. They record your video conferences (Zoom, Teams, Meet), transcribe, summarize, and extract action items. Fathom stands out for a very generous free plan, with no limit on the number of meetings. Fireflies goes further on CRM integrations and conversational intelligence. Otter remains a historical benchmark, but reduced its quotas in 2025 without lowering its prices. 

Common limitation: these three tools are American, hosted in the United States. Transcription in French works, but with lower quality than in English. According to AudiosTranscribe, Otter.ai drops to 70-75% accuracy in French versus 95% in English. And above all, each meeting is processed in isolation. You get a good summary of Tuesday's meeting, but no link to what was decided three months ago. 


European compliance-oriented tools: tl;dv, Noota, Leexi 

For French-speaking SMEs, the question of data sovereignty comes up systematically. A design office manager we interviewed put it this way: they are looking for sovereign AI because their network of historical files is too sensitive for an American tool. This is not an ideological stance. It is an operational constraint. 

tl;dv is hosted in Europe with SOC 2 certification. It is the most widely adopted European tool, with about 9% of the global AI notetakers market (MeetingStack). Its free plan offers unlimited transcriptions. Noota is French, GDPR and SOC 2 compliant, with good French transcription. It is aimed mainly at recruiters. Leexi, also French, targets sales teams, and offers in-person recording via smartphone and automatic task assignment. 

These tools solve the compliance and French-language problem. But like American notetakers, they treat each meeting as an isolated event. 


The knowledge management approach: 5Days

The four questions to ask yourself before choosing

Standard comparisons list features. What follows are the questions that the SMEs we interviewed actually ask themselves. 

1. Are your meetings isolated or tied to long-term projects? If you run occasional calls (hiring, sales, support), a standard notetaker is enough. If you manage 6- to 18-month projects with dozens of meetings on the same topic, you need a tool that links those meetings together. 

2. Where do your meeting notes end up today? In a Drive? A Teams channel? An email? Or in the note-taking tool, accessible only to the person who recorded the meeting? If the answer is "it depends", you have a centralization problem, not a transcription problem. A tool that produces a perfect meeting summary but stores it in yet another silo, accessible to one person, without being able to query the AI about it, doesn't improve anything. 

3. Can your data leave Europe? American tools (Otter, Fireflies, Fathom) store data in the United States. For some sectors (healthcare, defense, energy, public procurement), this is a deal-breaker. For the others, it is at least a question to ask your DPO. 

4. Who will administer the tool? In SMEs, there is often no dedicated IT admin. The tool must work without complex configuration, with onboarding in just a few minutes. Some tools require a prior license (Copilot requires Microsoft 365) or heavy CRM setup.
